    You need the district, the Sub Registrar office, the village and desom, the survey and sub-division number and the extent, exactly as the deed states them. An EC search runs on the property description, so a wrong survey number returns a clean but worthless certificate.

    Enter the property and ownership details and the period you want covered. Thirteen years is the usual minimum, thirty years the safer choice for a purchase.

    Calculate the fee and submit

    Use Calculate Fee, which prices the application fee plus the search by period, accept the declaration and submit. Save or print the acknowledgement — the transaction ID on it is how you get the certificate back.

    Track the status and download

    Return to application status or download and enter the transaction ID. Online applications are normally issued in two to three working days; when the status shows the certificate as issued, download the PDF.

    Read it against the deeds

    Match every entry to a deed you have seen. An entry you cannot account for — an old mortgage, a partition, a sale by someone outside your chain — is the reason the EC exists. Take advice before paying an advance.

What it proves

What an EC covers, and what it misses

  • It shows registered transactions. Sale deeds, gift and settlement deeds, partitions, mortgages, registered leases and registered attachments against the property, for the period searched.
  • A nil EC is a real result. It means nothing was registered in that period — useful, but only as strong as the period and the property description you gave.
  • It does not show unregistered claims. Agreements to sell, oral family arrangements and possession by a relative or tenant leave no trace in an EC.
  • It does not show litigation. A pending suit appears only if an attachment was registered. A separate court search is a different exercise.
  • It does not show statutory problems. Paddy-land Data Bank entries, land-conversion status, unauthorised construction, tax arrears and acquisition notifications are all outside it — see /services/due-diligence.

Problems

Where EC applications come unstuck

Wrong Sub Registrar office

Property registered in a different SRO before boundaries changed will not appear. The Village Office or the prior deed tells you which office held the registration then.

The description changed over time

Sub-divisions, re-surveys and village re-organisation mean the same ground carries different numbers across decades. A thirty-year search often needs two descriptions.

Pre-digitisation years

Older registers were scanned at different times in different districts. A search reaching back far enough may still be done manually and take longer than the usual two to three days.

Name spelling

Transliterated names vary between deeds. Search on the property description rather than relying on the name.

Clean EC, dirty title

A clean EC with a break in the deed chain is worse than a messy EC you understand. Always read them together.

Bank wants a longer period

Lenders often ask for thirty years after you have bought a thirteen-year certificate. Order the longer period once and avoid the second fee and wait.
